Governance Assistant (Board Support Specialist)

The Governance and Administration Division within the MTA is seeking experienced applicants for the position of Governance Assistant (Board Support Specialist). Our ideal candidate will have extensive experience with transcribing meeting minutes and assisting with the development and execution of various projects. This position will serve as liaison with the Board of Directors (BOD), local affiliate leaders and elected officials. This position will provide administrative and project support which will include conference and meeting preparation, management of correspondence and phone messages, draft correspondences and e-mail Presidents’ messages to local presidents and MTA Board of Directors. 

The duties for this position include but are not limited to:  

  • Board (BOD)/Executive Committee (EC)  
  • Attend Board and Executive Committee Meeting throughout the state (12 per year) 
  • Assists Director in the preparation of BOD and EC agendas and coordinates agenda packets.  
  • Ensures all BOD and EC agenda notebooks are prepared for President, Vice President, EDT and Director of Governance. 
  • Records and transcribes all key decisions and discussion items of all Board of Directors’ meetings, while maintaining confidentiality of all items discussed. 
  • Prepares and distributes BOD and EC Alerts. 
  • Coordinates New Board Member Orientation; sends new BOD welcome letters when elected, assembles New Board Member Orientation Packets and order name badges. 
  • Pull email lists of local presidents and BOD for electronic communications. Performs other duties, as needed.  


  • Serves as team member of the Governance Unit and assume any duties typically performed by the Executive Assistant to the Executive Director-Treasurer (EDT) and Governance Specialist, as needed. 
  • Provide administrative support to the Director and assist in the development and execution for various projects and timelines 
  • Answer and direct incoming calls to the appropriate staff.  
  • Edit and prepare documents and conduct internet research for Director, as requested. 
  • Disseminate information and materials in accordance with established policies and procedures. 
  • Assist with the preparation of MTA’s Annual meeting; coordinate hotels reservations, prepares and set up annual meeting materials, etc. 
  • Performs other duties, as needed. 
  • Develop and maintain spreadsheets for Governance workflow and to capture member requests.  

To be successful in the role you will need:  

  • A minimum of 5 years of recent executive administrative support. 
  • College degree preferred or equivalent work experience as an executive assistant for a minimum of 7 years.  
  • Ability to demonstrate strong experience with capturing meeting minutes. 
  • Strong project management and event coordination; pre-event and on-site.  
  • Ability to work with a variety of managerial work styles and communicate with members and the public with confidence.  
  • Exceptional interpersonal skills, strong attention to detail, superior organization skills and a high-level of dependability.  
  • Excellent written and verbal communication skills.  
  • Strong MS office skills; demonstrated ability to create and maintain multiple Excel spreadsheets.  
  • Previous experience using databases for entering information and running reports.  
  • Ability to foster and promote a diverse and inclusive work environment. 
  • Ability to manage a diverse workload, handle multiple tasks simultaneously and be responsive to deadlines.  
  • Must have reliable transportation for frequent travel to offsite meeting locations. 
  • Willingness and ability to work outside of standard business hours, including occasional late evenings, overnights and weekends.
