The Plumbers & Pipefitters National Pension Fund (PPNPF) is a multi-employer defined benefit pension fund established over 50 years ago. We are responsible for administering the retirement benefits nationwide for over 160,000 hardworking members of the United Association of Plumbers & Pipefitters and their families.

As the Assistant Supervisor of the Benefit Determination Group (BDG), you will be responsible for supporting the BDG Supervisor in managing the daily tasks and projects assigned to a workforce of 9 analysts. Such tasks and projects include reviewing and monitoring the production standards of each analyst to provide consistent feedback, recognition and quick course correction as needed, as well as strategically collaborating with analysts and other department stakeholders to revise inter and intra departmental workflows and procedures, allowing for metric tracking and workflow management. In the role of Assistant Supervisor, you will also be required to provide support and back up to the Supervisor, providing effective communication, and maintaining working relations with management, staff and Participants/Pensioners. In addition to reviewing award letters and election forms for accuracy of content, the Assistant Supervisor is responsible for creating award letters, election forms and final analysis forms using the letter writing system. Moreover, you will work in conjunction with the Supervisor to ensure the proper handling of daily BDG functions.

Responsibilities

  • Assists in supervising staff by demonstrating leadership qualities consistent with management values and mission.
  • Monitors the group’s inventory regularly to ensure work is evenly distributed and reassign cases as needed.
  • Assists with monitoring quality and quantity of work produced, ensuring employees are held accountable for consistently meeting quality and production requirements.
  • Assists with developing and implementing policies and procedures to ensure daily operations are in compliance with Participants’ needs.
  • Assists in coordinating Quality Control activities of audits and evaluations to meet the department’s requirements including compiling and documenting audit data and error reports.
  • Resolves escalated calls and handles inquiries from Participants, Beneficiaries, Local Unions, and Attorneys.
  • Assists the Processing Assistant in reviewing documents in the records management system for distribution among the Pension Analysts and reviews Analysts’ queues to ensure timely completion of work.
  • Monitors group calendar for upcoming employee leave and review employees’ workload to ensure timely completion of applications and other tasks in their absences.
  • Maintains effective communications and working relationships with management, other departments, and staff as well as Participants, Beneficiaries, Local Unions, and Attorneys.
  • Processes awards, denials, and adjustments as needed to supplement group output and process special cases as requested by management.
  • Reviews applications with Qualified Domestic Relations Orders, proposed or already on file. Forward files to Pension Services Group for review and consultation. Completes file when appropriate.
  • Compiles memos, plan amendments, instructions for unique circumstances, and example cases as well as perform research needed for updating procedures.
  • Tracks the progress of special projects such as Living and Deceased Mandatories and progress of specific cases to ensure designated deadlines are met.
  • Reviews award letters and election forms for accuracy of content, and creates award letters, election forms and final analysis forms using the letter writing system, for supervisor’s review.
  • Assists in resolving questions regarding the application of Plan rules, federal regulations and providing current information to staff.
  • Assists with the file review process, compiles data to track analysts’ accuracy, and identifies potential problem areas
  • Reviews and monitors all Residual Benefits items on the inventory and take the appropriate actions.
  • Reviews and handles files that are forwarded by PPG when payment documents are not received for non-spousal beneficiaries.
  • Works with supervisor and assistant manager to enhance automation to improve quality and quantity of products including daily reports and calculation worksheets.

Supervision & Staff Development

  • Provides proactive leadership, and continuous coaching and development of staff, in a manner that is consistent with PPNPF’s vision and values.
  • Assists with recruiting, hiring, training, and evaluating staff members within the Benefit Determination Group to ensure the ‘right people are in the right seats.
  • Assists with completing and delivering employee evaluations and reviews, timely and consistently.
  • Assists with conducting recurring supervision meetings with staff to determine staff needs, training needs and areas of development.
  • Assists with developing goals that align with organizational goals of the Fund and coordinates staff to continually meet and exceed goals.

Qualifications

  • Bachelor’s degree, or 3 years of relevant experience in a leadership role.
  • Must be a visionary leader, able to plan and execute at a strategic and tactical level, embracing structural thinking.
  • Must have exceptional verbal and written communication skills and ability to effectively evaluate data and manage change.
  • Proficiency in Microsoft Office Suite to include Excel, Word and Outlook.

Salary: Negotiable

Hours: 8:00 AM to 4:30 PM
