Receptionist/Administrative Assistant

Position Title: Receptionist/Administrative Assistant
Reports to: Executive Assistant
Bargaining Unit: Non-Exempt*

Position Summary
The front desk Receptionist/Administrative Assistant is the first point of contact at Washington State Nurses Association and requires excellent organizational and interpersonal skills to assist staff and guests. This position is responsible for a broad range of clerical, administrative and program operations support.

Duties and Responsibilities of the Receptionist/Administrative Assistant

  1. Greets visitors and answers incoming telephone calls; maintains a list of association meetings to aid in directing inquiries; notifies appropriate recipient(s); provides information, takes messages, sends membership applications upon request.
  2. Manages/routes incoming mail signing for deliveries/certified mail as necessary; processes outgoing mail and messenger deliveries; organizes and prepares bulk mailings; orders and maintains mailing supplies including notifying Executive Assistant when additional postage is needed for postage meter. Ensures timely management of outgoing mail and packages.
  3. Records and maintains log books of all checks, cash, credit cards and other monies received for the WSNA-PAC, WSNF; notifies appropriate staff and routes checks/cash/credit card information to Director of Finance.
  4. Routes incoming faxes and keeps fax machine supplied with paper and ink.
  5. Assists with the scheduling/calendaring, coordination, preparation, and follow-up support for assigned meetings, classes, and events. Arranges appointments and interviews as requested.
  6. Creates written documents, formats/sends documents, proofreads, edits, and compiles data/survey results including creating presentations, tables, graphs, or charts using appropriate computer programs.
  7. Copies and assembles assigned packets/materials.
  8. Keeps reception, conference rooms, and kitchen orderly.
  9. Assists with work overloads and other duties assigned by Executive Assistant.
  10. Maintains confidentiality of member and staff information.


  • High school diploma or GED required. Associate or baccalaureate degree highly preferred.
  • Two years of relevant work experience required.

Essential Skills/Competencies

  • Demonstrated proficiency in English and in verbal and written communications.
  • Demonstrated proficiency in proofreading, editing and writing copy.
  • Ability to follow oral and written direction.
  • Proficient in Microsoft Office including Outlook, Word, Excel, and PowerPoint.
  • Knowledge of standard office procedures, filing and record keeping.
  • Ability to operate standard office equipment including but not limited to copiers, fax, and postage machines.
  • Ability to handle multiple priorities, organize workload, take initiative, attend to detail, accuracy and thoroughness in work.
  • Ability to maintain professional demeanor and convey positive image of WSNA in interactions with others, in person or by telephone.

Physical Requirements

  • Some travel and onsite event assistance may be required.
  • Ability to work occasional early morning and evening hours with prior notice. Occasional overnight travel with prior notice.
  • A valid driver’s license in the state of residence and access to an operational motor vehicle that is currently insured.

The Receptionist/Administrative Assistant is included in the Program Assistant job classification and is subject to the WSNA – Teamsters Local Unit #117 contract provisions.
