The Administrative Assistant will report to the Director of Finance and Administration, and play an integral role in the organization’s operations and fundraising, working closely with other staff to strengthen ILRF’s engagement with supporters and activists. Responsibilities include coordinating logistics and fundraising for ILRF’s annual gala, database administration and maintenance, cultivating individual donor relationships, supporting the Executive Director with scheduling and engagement with board members, and other finance and administrative duties. This job is an excellent entrée into understanding nonprofit management and an overall perspective on ILRF’s full range of labor rights advocacy.

Essential Duties and Responsibilities
Finance and Administration:

  • Perform general office duties: organize and maintain files in SharePoint, order supplies, reserve conference rooms, welcome visitors, coordinate in-house meeting refreshments
  • Process and distribute incoming/outgoing mail to staff and suite partners
  • Scan, time-stamp, and code all invoices and deposits; upload to accounting portal, log donations into ILRF’s Customer Relationship Management (CRM) database (NeonCRM),
  • Assist with monthly financial close by uploading check deposit batches and monthly credit card reconciliations
  • Maintain vendor contact list
  • Troubleshoot and resolve operational and IT problems, including working with vendors directly
  • Answer calls that come to ILRF’s main phone line, and reply to messages sent to ILRF’s main email address

Donor Outreach and Event Planning:

  • Manage donations, donor information, donor acknowledgements and funder data in ILRF’s CRM database by entering new contacts and donations in a timely manner, and keeping the database up-to-date and accurate
  • Process checks and make weekly deposits to ILRF bank account
  • Support donor outreach, including tracking solicitations, organizing and conducting solicitation calls and producing donor acknowledgements
  • Work with ILRF’s event planner, board members, host committee members, and Executive Director to plan and solicit sponsorships for ILRF’s annual fundraising gala, the Labor Rights Defenders Awards
  • Work with campaign staff and E.D. to support ILRF’s annual report and end-of-year donation appeals

Executive and Board of Directors Support:

  • Carry out a wide variety of administrative tasks for the Executive Director, including managing an extremely active calendar of appointments, arranging meeting agendas, and note-taking during meetings
  • Coordinate semi-annual meetings of ILRF”s Board of Directors, including logistics, liaising with Board members, taking minutes, follow-up, and communications needs, including the coordination of calls and agendas for board sub-committees

Required Qualifications

  • Two to five years of experience in nonprofit administration, membership, event planning, and/or fundraising
  • Excellent fundraising and campaign-style writing, fast and accurate copyediting skills
  • Demonstrated ability to work well under pressure and manage multiple work streams
  • Creative problem-solving skills
  • Highly organized and detail-oriented
  • Ability to work independently, meet deadlines, and prioritize tasks
  • Ability to represent ILRF professionally at meetings and coordinate effectively with other ILRF staff and allies
  • Tech-savvy and proficient with Microsoft Suite and database management
  • Enthusiasm for ILRF's labor rights and corporate accountability mission
  • Bachelor’s degree or equivalent experience

Preferred Qualifications

  • Experience with CRM systems, particularly NeonCRM
  • Graphic design experience and familiarity with Adobe InDesign
  • Proficiency with Drupal

Employment Status: Full-time, Exempt, Bargaining Unit. Supervisor: Director of Finance and Administration.

Compensation: The salary range for this position is $42,000 - $50,000, depending on experience. ILRF has an excellent benefits package and provides 100% employer-paid health insurance.
