What You’ll Do

The Administrative Assistant will provide administrative support to the Nashville Local office and staff as needed. This position will perform all basic clerical and office tasks, as well as support the Executive Director with administrative duties on a regular or assigned basis.

  • Act as an exemplary “front door” representative for all walk-in traffic from members, producers and employers. Answer telephone and greet all walk-ins to Nashville local. Assist staff with routing member inquiries to the appropriate local and national staff.
  • Provide professional level administrative support to the Nashville Local office.
  • Perform general clerical duties including, but not limited to, telephone reception, photocopying, faxing, mailing, filing and monitoring the general e-mail inbox for the Nashville Local office.
  • Assist with Membership-related duties such as cast clearance processing, Taft-Hartley database input, and production information updates in database.
  • Support membership and contract administration staff as needed.
  • Communicate and interact effectively with all levels of personnel, including management and support staff.
  • Perform other duties as assigned.

What You’ll Need

  • MS Word, Excel and software applications; strong spelling, grammar, proofreading and typing skills (35 wpm minimum); ability to become proficient in proprietary programs and databases.
  • Professional, articulate telephone manner.
  • Excellent customer service skills.
  • Superlative interpersonal skills: high degree of patience and tact. Must be able to cultivate respectful, strategic and collaborative relationships with people from diverse backgrounds both internally and externally.
  • Ability to work independently and as part of a team.
  • Well organized and detail oriented with excellent follow-through skills.
  • Ability to communicate effectively in English both verbally and in writing.
  • Able to prioritize daily workload in high pressure environment while dealing with high call volume.
  • Flexible and adaptable to changes in workload.
  • Ability to understand and follow complex written and oral instructions.
  • Ability to control and protect highly confidential information.
  • Have an understanding and awareness of worker rights impacting SAG-AFTRA members.
  • Available and willing to work extended hours per day or per week, including weekends and holidays, during peak work periods.

Education and/or Experience:

  • High school diploma and/or equivalent combination of education and experience.
  • Previous administrative support experience required.
  • Previous experience in entertainment industry or labor unions a plus.

  • Basic skills: spelling, math, grammar and filing – passing score: 76%
  • Microsoft Word and Excel tests (basic, intermediate and advanced) – passing score: 76%
