Job Purpose:
Under the direction of the Director of Governmental Affairs, the PAC Coordinator supports the National Rural Letter Carriers’ Association’s political action committee, grassroots advocacy, and member political engagement programs. The position coordinates day-to-day PAC administration, fundraising, compliance support, state PAC chair assistance, event logistics, reporting, and member education activities that advance NRLCA’s legislative and political priorities.
Travel Required: Yes – including the annual NRLCA national convention, PAC trainings, and other political or association events as assigned
Essential Duties and Responsibilities
PAC Administration & Compliance
- Assists the Director of Governmental Affairs and state PAC leadership in ensuring PAC activity complies with applicable Federal Election Commission requirements, internal procedures, and reporting deadlines.
- Maintain and update the PAC handbook, forms, training materials, and other guidance for state PAC chairs and members.
PAC Fundraising & Member Engagement
- Coordinate the annual PAC solicitation letter to NRLCA members, including drafting support, list coordination, approvals, printing, and mailing logistics.
- Support PAC fundraising strategy by helping develop member engagement materials, contribution campaigns, incentives, and outreach plans.
- Serve as a primary staff resource for state PAC chairs, providing timely assistance, materials, training support, and answers to routine PAC questions.
- Help identify opportunities to grow PAC participation and strengthen member understanding of how political engagement supports rural carriers and the public Postal Service.
Convention, Training & Event Support
- Coordinate PAC activities at the annual NRLCA national convention, including PAC contribution table operations, volunteer scheduling, supply management, incentive prizes and contribution reporting.
- Develop and coordinate PAC training seminars and materials for state PAC chairs and other member leaders.
- Support the Governmental Affairs Department with Legislative Seminar and other association or political events as assigned.
- Maintain accurate event-related PAC totals, volunteer lists, supplies, and follow-up records.
Legislative & Political Program Support
- Support the Director of Governmental Affairs in advancing NRLCA’s legislative and political priorities.
- Assist with grassroots advocacy campaigns, member mobilization, and political education initiatives.
- Help coordinate relationships and communications with state associations, elected officials, candidates, labor organizations, coalition partners, and community stakeholders, as directed.
- Prepare or assist with briefings, talking points, advocacy materials, correspondence, and other written products related to PAC and political engagement.
Department Operations & Coordination
- Work closely with NRLCA leadership, officers, staff, and state leaders to ensure PAC and political efforts are aligned with Association priorities.
- Maintain organized files, calendars, databases, reports, mailing lists, and other systems necessary for timely and accurate PAC operations.
- Exercise professionalism, discretion, initiative, confidentiality, and sound judgment when handling member, donor, political, and Association information.
- Perform additional duties as assigned by the Director of Governmental Affairs.
- Maintain inventory and disseminate donor level pins.
Required Skills and Abilities
- Strong knowledge of PAC administration, political engagement, grassroots advocacy, or demonstrated ability to learn and apply PAC compliance and reporting requirements.
- Excellent written and verbal communication skills, including the ability to draft clear member-facing materials, reports, correspondence, and training resources.
- Strong organizational skills and attention to detail, including the ability to manage data, contributions, volunteers, supplies, mailings, deadlines, and event logistics.
- Ability to manage multiple priorities under tight deadlines while maintaining accuracy, confidentiality, and professionalism.
- Comfortable with speaking, training, and presenting in member, leadership, and public settings.
- Proficiency with Microsoft Office or Microsoft 365 applications in a Windows operating environment; experience with databases, spreadsheets, contribution tracking systems, or membership systems preferred.
Education and Experience
- Bachelor’s degree in political science, public policy, communications, labor relations, nonprofit management, or a related field preferred; equivalent relevant experience may be considered.
- Experience supporting a political action committee, campaign, labor organization, membership association, nonprofit advocacy program, government relations office, or related political/legislative operation preferred.
- Experience coordinating events, volunteers, fundraising, member outreach, compliance records, or data/reporting functions strongly preferred.
