Schedule: 5 days per week, 8 hours per day, Starting Wage: $27.50 – $33.50 per hour depending on level of experience plus annual raises
Position Summary
Local 502 is seeking an organized, dependable, and professional Administrative Assistant / Bookkeeper to support the daily operations of our union office.
This is a 100% on-site position. Daily interaction with members, contractors, visitors, union officers, and staff is an essential part of the role.
Because we are a labor union, our office is a member-focused workplace. Members and contractors regularly visit the union hall for assistance, meetings, and general business. The ideal candidate enjoys working with people, can adapt to changing priorities throughout the day, and maintains a professional, welcoming attitude.
Previous union office experience is not required. We will provide training on our union-specific software, office procedures, and day-to-day operations. However, candidates should already have administrative and some bookkeeping experience , experience using QuickBooks or comparable accounting software, and be comfortable learning new systems.
Above all, this position exists to serve our membership. We are looking for someone who takes pride in helping others and providing excellent customer service.
What You Will Do
- Answer, screen, and direct incoming telephone calls in a courteous and professional manner.
- Assist with the daily operations of the union office and provide administrative support to union officers and staff.
- Welcome members, contractors, and visitors and provide exceptional customer service.
- Assist members with dues payments, forms, records, referrals, and general office services.
- Maintain accurate member records, databases, contracts, and filing systems.
- Process accounts payable and accounts receivable, including invoicing, payment processing, and tracking outstanding balances.
- Record deposits, dues payments, and other financial transactions.
- Assist with payroll processing and maintain employee payroll records, as applicable.
- Reconcile bank accounts and assist with monthly financial reporting.
- Maintain financial records using QuickBooks or similar accounting software, and Union Membership Software.
- Coordinate communication with members, contractors, vendors, trustees, and union officers.
- Assist with meetings and the coordination of correspondence, mailings, and office communications.
- Assist with scheduling and organizing membership meetings, elections, training programs, and special events.
- Order office supplies and maintain office inventory.
- Perform other administrative and bookkeeping duties as assigned.
Qualifications
- High school diploma or GED required; an Associate's degree in Business Administration, Accounting, or a related field is preferred.
- Previous experience in an administrative, bookkeeping, or office support role is preferred.
- Experience using QuickBooks or comparable accounting software is strongly preferred.
- Proficiency in Microsoft Office, including Word, Excel, and Outlook.
- Strong organizational, time-management, and multitasking skills.
- Excellent written and verbal communication skills.
- Ability to handle confidential financial and member information with discretion.
- Strong attention to detail and accuracy.
- Ability to work independently while contributing effectively as part of a team.
- Ability to remain professional in a busy office environment.
- Positive attitude, willingness to learn, and commitment to serving the membership.
- Experience working with labor unions, nonprofit organizations, or membership-based organizations is a plus.
