Membership Development and Operations Coordinator
Based in Roseville, MN
OPEIU Local 12 is hiring for the new role of Membership Development and Operations Coordinator. The position will manage all union administrative functions and support overall day-to-day operations of OPEIU Local 12, with an eye toward building and optimizing organization-wide processes for efficient operations. The position is a confidential employee with the potential to supervise future clerical or administrative positions at Local 12.
The Membership Development and Operations Coordinator will interface with union membership daily and work closely and directly with the Executive Board to develop and implement standard operating procedures, and plan and achieve larger organizational objectives. The position is based in the Local 12 office in Roseville, MN with occasional travel to worksites, events, and actions. The position will be a OPEIU Local 12 member and follow the Local 12 Union Office Master Contract.
The position requires experience and understanding of the daily functions of a labor union office, including knowledge of Department of Labor regulations. Preference for current or former OPEIU Local 12 members. Strong communication skills a must.
Duties
Membership Support and Communications
- Provide a physical presence at the OPEIU office during standard business hours as needed. Serve as first point of contact for the union office in person, by phone and by email.
- Calculate, track, receive and process dues payments on a regular, timely basis, including separate JB Moss VOTE Fund payments, membership insurance and benefit paperwork.
- Manage and optimize the membership database; update files to reflect active members, new enrollments, and status updates (like retirements or leaves of absence).
- Work with Local 12 Communications Committee to help prepare and send flyers, texts, newsletters, emails, and social media posts to facilitate regular and effective communication with Local 12 membership and the broader community.
- Work with Local 12 Secretary-Treasurer and Trustees to prepare, file, and remit monthly per capita reports.
- Work with Local 12 Recording Secretary to prepare and send meeting notices, maintain calendars, update the website, and facilitate online and in-person membership meetings.
- Prepare appropriate lists and process mailings for membership and campaigns.
- Oversee logistical support for campaign operations, including maintaining inventory, ordering equipment and supplies, permits, audiovisual needs, and organizing transportation and space as needed.
- Support participation in member-led activities and encourage new members to join.
Office Management and Executive/Board Support
- Manage daily office needs, mail, supplies, technology, printing, equipment, inventory, and furniture.
- Work with and serve as point person for building management, troubleshoot office and technology issues, manage office access and door scheduling.
- Maintain organizational records and compliance. Track deadlines and assist with renewal of insurance policies, bonds, contracts, vendor agreements, etc.
- Maintain updated policies and standard operating procedures, and work with Executive Board to review, assess, develop, or refine organizational policy and procedure documents.
- Assist staff and Executive Board with the adoption of new and existing technology platforms in conjunction with IT vendor. Provide basic education and technical support as possible.
- Finance and bookkeeping tasks including accounts payable/receivable, coding expenses, tracking receipts, monthly bank reconciliation, and organizing materials for annual audits and federal compliance.
- Make appropriate accounting entries in QuickBooks Online using cash basis accounting methods, monitor the budget, and prepare monthly financial statements and reports for the Executive Board and general membership.
- Manage HR and administrative systems and processes including weekly payroll, timesheets, benefits coordination and administration, documentation and electronic filing systems, and assist with recruiting and onboarding tasks.
- Provide administrative support and technical assistance to union officers, union leaders and staff in support of Local 12’s mission and vision, especially with respect to personnel, data management and reporting, financial controls, and planning.
- Work with union leadership to ensure effective meetings, sound fiscal practices, and good internal communication.
- Coordinate meetings, prepare agendas and materials, arrange for refreshments, reservations, logistical planning, set-up and clean up for meetings and events.
- Assist with travel arrangements and manage scheduling and logistical support for staff and member travel.
- Generate project timelines and track expenses and progress, conduct basic background research on assigned topics, prepare summaries and presentations.
- Other duties or special projects depending on capacity and interest.
Work Environment and Benefits
- Full time, hourly, 35 hours per week Monday-Friday in the office on a consistent basis. Potential for occasional long and irregular hours, including some nights, weekends and holidays depending on board and membership needs/events.
- Occasional travel to Local 12 employers, as well as to rallies, events, and marches. While public transit can usually be used, a valid driver’s license and car with insurance are preferred.
- Benefits include full employer-paid defined benefit pension and health benefits, generous holidays, personal days, and paid time off. The Local 12 Union Office Master Contract hourly wage ranges from $29.51-$36.64 depending on experience.
- Must be able to occasionally carry up to 30 lbs., walk up and down stairs safely, drive safely, and occasionally stand or march for several hours if needed.
Required Qualifications
- At least five to seven years of experience managing an office, internal/external stakeholder communications, and database work, especially in a labor union setting.
- Mastery of Microsoft Office 365 suite and proficiency with Google suite. Knowledge and understanding of QuickBooks Online. Advanced excel skills and database management preferred.
- Very strong interpersonal skills and ability to build relationships with a wide variety of stakeholders, including union members, staff, board, and external partners.
- Ability to clearly convey information and ideas to individuals and groups through a variety of communication methods.

- Experience operating and troubleshooting office equipment (e.g., fax machines, printers, copiers, phones, computers).
- Demonstrated ability to handle confidential material and information in a professional manner.
- Experience with, and commitment to, social justice issues are not required but a plus.
