Data and Administrative Assistant

Who We Are:
The Nonprofit Professional Employees Union, IFPTE Local 70, is a fast-growing, dynamic and member-led union representing thousands of members in more than 50 bargaining units at progressive nonprofit organizations in Washington, DC and beyond. Our members work at local and national research, advocacy and community organizing groups and are known nationwide for their policy expertise, research prowess, organizing skills and dedication to advancing the missions of their organizations and holding them accountable to their core missions.

We are looking to hire a Data and Administrative Assistant to take our union’s data management to the next level. This position will be supervised by the Campaigns Director and work with other staff and volunteer elected officers to support our field program.

Core responsibilities:

  • Data:
    • Develop, implement, and manage a data program for the union, using our existing database and member lists as a starting point, in order to ensure data integrity, standardization, and utility as the union continues to grow. 
      • Maintain and improve the database to support organizing, bargaining, research, political, and administrative goals.
      • Manage the union’s membership lists in Action Builder, using dues information received from employers to keep our data up to date and perform a full member audit at least twice a year. 
      • Provide guidance and training to support other staff, officers and member leaders to implement the data program for the union.
    • Assist the officers with maintaining records and data for the union
      • Enter and manage data in the union’s membership databases.
      • Be a subject-matter expert for the union’s member data automation and collection in Action Builder & Action Network.
      • Track membership lists as well as event attendees.
      • Create creative visual reports like PowerPoint presentations that utilize pivot tables, pie charts, etc, as needed. 
    • Set up internal elections for CBA ratifications, unit elections, and biannual union officer elections (in coordination with the elections committee).
    • Maintain and organize project, program files, and databases as assigned.
    • Produce ad-hoc queries, reports, and projects as needed for interdepartmental projects.
  • Admin:
    • Coordinate virtual and in-person meetings and events
      • Schedule and coordinate meetings, events, and trainings for member leaders and staff across teams, managing multiple calendars and resolving scheduling conflicts.
      • Support virtual and in-person trainings by creating meetings and invitations, confirming registrations, and distributing training materials or certificates.
      • Coordinate integration of major events and deadlines across teams and units to ensure alignment.
      • Manage event logistics including sourcing and booking venues, coordinating catering, and arranging printing and other materials needed for meetings and events.
    • Provide executive support
      • Support the preparation of agendas, notes, and materials for internal meetings of staff and officers.
      • Track and drive follow-up on action items at the President’s direction, including following up with team members to ensure tasks are completed and flagging unresolved items for escalation.
      • Manage the President’s inbox and communications flow, including triaging email, screening voicemail, flagging time-sensitive and high-priority matters, drafting routine and background responses for review, and ensuring timely follow-up.
      • Maintain the President's calendar and scheduling, including coordinating participation in conferences, speaking engagements, and media events.
      • Support preparation of Executive Board meeting notices, agendas, and briefing materials.
    • Assist with union operations
      • Manage confidential and legally sensitive correspondence and documentation.
      • Assist with travel arrangements and expense reporting.
  • Other:
    • Create and update your own work plan, calendars, and timecards.
    • Other duties, as assigned, by the Campaigns Director and President.

Job Requirements:
This position requires experience with data systems and data entry, which could include roles related to data management, and/or organizing. Experience working for a labor union or as a member of a union is preferred, but not required.

In addition, a great candidate will have most of the following skills, experiences and qualities:

  • Experience utilizing a wide range of digital and data tools (including Action Builder, Action Network, Election Buddy, Google Suite, Zoom, and project management software) and a demonstrated history of learning new digital tools.
  • Experience working with, training, and empowering diverse teams to effectively use data and communications tools in their work.
  • Excellent problem-solving skills and experience identifying problems and finding potential solutions.
  • The ability to work within timelines with minimal supervision.
  • A strong commitment to social justice and building the labor movement. Experience in the non-profit sector, either as staff, as a union representative, or in another capacity. (preferred) 

This is a remote, work-from-home position, but preference will be given to employees in the DC metro area. The average work week will be 35 hours per week with some flexibility to schedule work around your obligations, but most meetings will occur during East Coast business hours.

For candidates who meet all the required qualifications, the salary range for this position will be $60,000 – $70,000 annually. NPEU will also provide 100% paid individual health and dental coverage, generous retirement contributions, vacation time, compensatory time, sick time, and a technology stipend.
