Job Summary:
Performs a variety of complex, responsible and confidential secretarial and administrative duties requiring a thorough knowledge of organizational procedures and precedents, for an officer or department head. This position requires the ability to work independently, exercising judgment and initiative. Must be well organized and possess outstanding secretarial and administrative skills. Work is performed under the general supervision of the Officer or Department Head.

Job Functions:

  • Screens visitors, telephone calls and directs mail to the correct officer or department head.
  • Types letters, statements, narrative and statistical reports, minutes and agendas from dictated, handwritten or other sources.
  • Composes, prepares and reviews routine correspondence for signature by department head and distributes or department head.
  • Answers the phone, provides information and receives information concerning matters related to the division or department head.
  • Maintains a calendar for the department head and assures that complete information is available for all matters.
  • Handles all travel and scheduling for the department head.
  • Coordinates paperwork for staff hiring and maintains internal personnel database.
  • Reviews all routine department matters requiring approval by department head.
  • Coordinates some office functions with other divisions and departments.
  • Researches, compile and analyze data for special projects and prepare routine reports.
  • Organizes and maintains a variety of files and records.
  • Arranges for meetings and conferences as needed. Performs other related duties as required.

Qualifications:

  • High school diploma or equivalency required.
  • Some college preferred.
  • Three years’ experience in the performance of responsible secretarial and clerical work.
  • Knowledge of modern office methods and procedures.
  • Must have knowledge of office equipment and experience with word processing.
  • MS Excel and familiarity with MS Access.
  • Ability to perform secretarial and clerical duties with speed and accuracy without immediate and constant supervision.
  • Type at a speed of 70 words per minute and stenography skills desirable.
  • Experience handling confidential information.
  • Ability to produce reports in MS Word, Excel and Access.
  • Excellent spelling, grammar and vocabulary with good verbal and written communication skills.
  • Ability to maintain a good working relationship with all coworkers, members and the general public, requiring tact, judgment and poise.
  • Ability to work well under stress.
  • Ability to work long hours, including evenings and weekends.
