Position Summary:
The Administrative Assistant provides administrative services in support of the SEIU-UHW Executive Office, divisions, membership and staff to accomplish the Union’s goals. The Administrative Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the Vice President. This position oversees confidential tasks but must also possess a set of skills and abilities to design and oversee special projects handled in the Executive office. Their responsibilities are typically performed at a professional level with the ability to work under deadlines and accommodate last minute changes in priorities in addition to performing a variety of administrative duties. They must be able to work under pressure at time and be able to handle a wide variety of activities and confidential matters with discretion.

The person on this position should have excellent oral and written communications skills and some degree of creativity that can be called upon if needed. The Administrative Assistant should be an organized, multitasking person, able to work with minimal supervision and able to make decisions at their level of responsibility and under general instructions.

This is a confidential, non-bargaining unit position is located in Los Angeles, CA and reports directly to the Vice President.

Essential Job Functions:

  • Provide and coordinate a variety of administrative support to the Vice President of SEIU UHW which includes arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
  • Respond to inquiries from union officers, senior staff, union leaders and ability to manage the flow of communications, answer questions, and independently resolve problems whenever is possible
  • Assists the Vice President with staff compliance with department and Union programs such as statewide membership drives, COPE fundraising, petition drives, and membership mobilization when needed.
  • Assists the Vice President as they work closely with the finance team in orienting, tracking and monitoring staff and members understanding of and compliance with Department and Union's administrative requirements such a budgets, BHAT (activity) reports, attendance records, and filings when needed.
  • Attends and participates in staff meetings, serve as administrative support person, create agendas, order equipment, keep minutes, coordinate meeting’s logistics.
  • Compose or prepare confidential correspondence, forms, newsletters, flyers and reports at a professional level of technical skills using the Microsoft Office suite applications or similar for the Vice President.
  • Establish, track and maintain all legal and confidential documents.
  • Receive mail and phone calls for the Vice President. May receives member requests and complaints (telephone and walk-in) and refers to appropriate staff for resolution.
  • Maintain adequate office supplies for the Executive Department.
  • Work on special projects as assigned.
  • Perform other duties as required to support UHW mission, values, activities and programs, in addition to the function in the Executive office he/she supports on a regular basis
  • Participation of union activities that may include overnight travel

Qualifications:

  • To perform this job successfully, an individual must be able to perform each essential job function assigned satisfactorily. The requirements listed are representative of the knowledge, skill, and/or ability required
  • College degree preferred, but not required.
  • Experience in an Executive office environment is highly desirable with a thorough administrative experience.
  • Strong work tenure: 5 to 10 years of experience supporting C-Level Executives with a thorough administrative experience is highly desirable
  • Non-profit experience is a plus.
  • Typing speed of at least 55 wpm with a high rate of accuracy and some proof-reading experience
  • Expertise using programs, proficient in Office 365, Adobe Acrobat, Zoom and Social Media web platforms. and proficiency using the Internet as a research tool.
  • Knowledge of standard business documents and table formatting to prepare materials accurately and familiarity with a multi-office and organizational environment.
  • Must be accurate, timely, and detail oriented, maintain a high degree of confidentiality, and able to communicate effectively with employees at any level
  • Ability to work well independently under general directives and as team member. Ability to take initiative, exercise good judgement to solve job related problems and follow tasks through to completion
  • Ability to interact professionally with culturally and linguistically diverse staff and members
  • Excellent interpersonal, written and communications skills. Experience composing grammatically correct correspondence, and editing drafts to correct grammar, spelling and punctuation.
  • Excellent organizational skills.
  • Ability to manage multiple and competing priorities and work well under pressure.
  • Excellent punctuality and attendance.
  • Bilingual skills are a plus
  • Ability to maintain a high level of confidentiality
  • Ability to work long and irregular hours including some evenings and weekends as needed

Physical Demands:

  • Ability to sit at a computer for extended periods.
  • Work long and irregular hours including nights and weekends
  • Able to lift up to ten pounds.
  • Able to bend and stoop.
  • Occasionally lift and/or move boxes with documents weighing up to 20 pounds.

Relationships:
The Administrative Assistant works closely with and interacts with Union members, unorganized workers, employers, government officials, the Executive Board members, officers, other staff, staff from other labor organizations and grassroots organizations.
