The Administrative Assistant supports the management and staff of the NY Metro District of 32BJ, including coordination of work between the office and field staff. S/He reports directly to Office Manager.

The staff of this district office often work outside the office and rely on the AA to help coordinate their office responsibilities and district events.

The Administrative Assistant will work approximately 3 days a week in the main office in Manhattan and 2 days a week in a satellite office in Richmond Hill Queens. S/He serves as the office manager to a satellite office and provides general support for the staff. S/He is the first point of contact for members who call or visit. Members may call or visit to discuss workplace issues, to get information about actions or to play a volunteer role on union organizing campaigns or political mobilizations.

Responsibilities include:

  • Serve as liaison to building management for purposes of maintenance and security; maintain office appearance
  • Schedule meetings and coordinate space, presentation materials, access for attendees, etc.
  • Responsible for proactively ordering and maintaining supplies.
  • Coordinate with IT Dept. to update and maintain computers, copier and other equipment
  • Receive general calls and triage issues
  • Greet and assist members in person; triage member issues ; assist with grievance intake and processing as needed
  • Maintain membership database; track and process membership forms
  • Receive and process data from the field staff
  • Serve as point person for Administration and Finance staff (NY Office). Process transactions through HR Passport (HR) and BP Logix (AP)
  • Coordinate mailings
  • Manage vendor relationships; make purchasing and travel decisions for district actions and events
  • Other duties as assigned


  • Three to five years of relevant work experience in an office environment, with increasing levels of responsibility
  • Ability to plan their work and operate independently to keep work organized, prioritize work and manage deadlines without close supervision
  • Attention to detail
  • Strong interpersonal skills, including working with a diverse audience
  • Strong written and verbal communication skills in both English and Spanish required.
  • Proficiency with Microsoft Office including Word, Excel and Access

This is a full time position with a full benefits package, including a pension plan and employer-paid health coverage for full-time employees and their eligible dependents.
