Finance and Administrative Coordinator

Founded in 1972, the Chinese Progressive Association (CPA) is a grassroots membership-based organization that empowers the Chinese community in San Francisco and promotes justice and equality for all people. CPA’s campaigns and programs improve the living and working conditions of working class immigrants and give ordinary community members a stronger voice in the decision-making processes that affect them. Our core strategies are community education and organizing, leadership development and alliance building.

Position Overview:
The Finance and Administrative Coordinator supports the administrative, bookkeeping and financial operations of the organization. The Finance and Administrative Coordinator is supervised by the Finance Director.

Responsibilities:
This position is part of the Finance Team and Key Leadership Roles and Responsibilities may include some combination of the following in coordination and collaboration with other members of the team:

1. Finances
Bookkeeping

  • Implement and strengthen routine systems for invoicing, accounts payable and accounts receivable, bank reconciliation and produce monthly and annual financial reports for review
  • Administer Accounts Payable to coordinate payment of bills, including ensuring proper documentation and coding
  • Administer Accounts Receivable to collect checks for deposit; process and send deposits to the bank, submit paperwork for review
  • Track and pursue outstanding invoices, attach to payment when check is received
  • Administer Payroll: to create annual payroll calendar for staff, maintain payroll company and staff adjustments files, and collect timesheets and track vacation / sick time/ flex balance; create and submit reports to Leadership Team as needed
  • Administer Petty Cash: to request and replenish petty cash supply via check request, track and record incoming/outgoing petty cash and submit reports to bookkeeper quarterly

Contracts Invoicing and Reporting

  • Work with Finance Team to administer all city/government contracts and grants, prepare reports and reimbursement (invoice) request for all city/government grants and contracts
  • Prepare monthly financial reports
  • Maintain communication with city/government contract managers and subcontractors/collaborative

2. Administration and personnel

  • Manage and administer payroll
  • Support onboarding of new employees
  • Support the management of medical, dental, and vision insurance services, work with insurance broker for annual renewal; process paper work and reports as needed.
  • Support the management of 403b contributions and maintain staff contribution and update changes
  • Support the management FSA account, maintenance of accounts
  • Liaison to bank, credit card and payroll companies for any questions and clarifications

3. Office Management (includes but not limited to):

  • Perform front desk and telephone reception, and other organizational administrative work as needed

4. Organizational and Program Support

  • Coordinate initial steps of the hiring process, including posting job announcements, receiving, distributing and filing resumes
  • Assist with organizational event planning
  • Support various areas of work within organization as needed an identified

Essential Qualifications:

  • Commitment to social, economic and environmental justice, and bottom-up social change
  • Minimum of 2 years of experience in nonprofit administration or finance
  • Ability to work effectively with people of diverse backgrounds
  • Meticulous attention to detail and organization
  • Good team player and problem-solver
  • Takes responsibility and initiative in work
  • Can work effectively independently and as part of a team
  • Ability to multitask and follow-through on projects
  • Ability to pivot and adjust to new and shifting priorities
  • Strong organizational and communication skills
  • Proficiency in G Suite Apps, Microsoft Excel (or other spreadsheets application).

Preferred Qualifications:

  • Experience with QuickBooks accounting software
  • Bilingual in English and Cantonese or Spanish

Employment Terms:
Full time and non-exempt.

Salary and Benefits:
Expected annual salary earnings ($45,000 - $55,000) per year with overtime and bonuses. This position also comes with medical and dental benefits, plus paid vacation, sick time and holidays.
