FUNCTIONAL PURPOSE
Under general supervision, serves as secretary and acts as receptionist in the office of the President performing a variety of administrative and clerical duties, and other duties as assigned by the President or his/her designee.

DUTIES AND RESPONSIBILITIES may include, but are not limited to the following:

  • Open mail daily and distribute to appropriate personnel for handling. Review and process incoming and outgoing correspondence and communications.
  • Compose various communiqués, correspondence and/or other material. Proofread all outgoing correspondence. Make copies, scan and file correspondence w/related backup material.
  • Screen incoming calls and answer inquiries, provide assistance when possible, or refer to the appropriate individual.
  • Prepare materials for meetings, committees, conferences, seminars, and national conventions when requested.
  • Make arrangements and keep schedules for convention committee(s) as requested.
  • Attend meetings and take notes as requested. Provide administrative support for the President and executive office staff with regards to the National Executive Board, committees, task forces, congressional staff, foreign dignitaries, and other visitors to the executive office.
  • Responsible for coordination and completion of mailings of various sizes.
  • Process all incoming contribution requests.
  • Scan and maintain executive office files as necessary.
  • Create, maintain and update spreadsheets. Create charts and graphs for use in handouts and presentations.
  • Process expenses, requests for travel authorization to the Travel Assistant and leave requests for officers and staff of the Executive Office.

QUALIFICATIONS
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed are representative of the knowledge, skill, and/or ability required.

EDUCATION & EXPERIENCE

  • High school graduate or equivalent.
  • Two years secretarial or equivalent experience.
  • Prior executive office secretarial or administrative experience desired.

SKILLS

  • Ability to objectively analyze problems and suggest solutions in an intelligent and professional manner. Must be detail-oriented.
  • Must be able to establish and maintain effective working relationships with officers, staff, employees, members of outside agency officials, as well as congressional staff, foreign dignitaries and their office staff.
  • Ability to type 45 wpm.
  • Ability to utilize a computer, including but not limited to, Microsoft Office Word, Excel, PowerPoint & Outlook.
  • Ability to perform duties with neatness and accuracy.
  • Ability to use office equipment such as copiers, scanners, fax, desktop computer system and peripherals, etc.
  • Individual must be dependable with exemplary attendance and punctuality. Must demonstrate excellent telephone courtesy and have the ability to handle and maintain confidential material.
  • Ability to establish and maintain effective working relationship with APWU personnel, members and general public.
