The MTA is looking for an Executive Assistant who is responsible for providing administrative and project support with minimal supervision to the MTA Leadership; Executive Director-Treasurer (EDT), President and Vice President. This position is conveniently located in Quincy, MA.

Duties for this position include but are not limited to:

  • Provides high-level administrative support for the MTA Leadership, including coordinating and scheduling internal and external meetings, maintaining calendars, monitoring emails, setting up conference calls, coordinating travel arrangements, and preparing leave reports and processing expense vouchers.
  • Provides high-level project support the MTA Leadership including compiling, researching, analyzing, writing and formatting materials needed for meetings, conference/conventions, presentations and reports.
  • Alerts MTA Leadership to potential issues and deadlines.
  • Attends meetings and produces accurate minutes including identifying and monitoring tasks for follow-up.
  • Serves as liaison on behalf of the MTA Leadership with Board of Directors, local affiliate leaders and elected officials.
  • Works as part of a team with Governance staff and assumes any duties typically performed by the Governance staff as needed.
  • Performs other duties as assigned.

To be successful in this role you will need:

  • Bachelor’s Degree preferred.
  • A minimum of 5 years of recent administrative support experience reporting to an executive-level professional in a lead role.
  • Ability to foster and promote a diverse and inclusion work environment.
  • Strong MS office skills; must be able to create and maintain multiple Excel spreadsheets and demonstrate PowerPoint proficiency.
  • Experience using databases for entering information and running reports.
  • Exceptional interpersonal skills, strong attention to detail, superior organization skills and a high-level of dependability Excellent written and verbal communication skills.
  • Maintains responsibilities with a positive, cooperative attitude.
  • Commitment to maintaining confidentiality when handling sensitive information.
  • Ability to work with a variety of managerial work styles and communicate with members and the public with confidence.
  • Willingness and ability to work outside of standard business hours, including some nights and weekends.
  • A valid driver’s license is required for occasional travel to offsite meeting locations.
