Legal Secretary

The Legal Division within the MTA is seeking qualified applicants for the position of Legal Secretary. Our ideal candidate will possess legal administrative experience and will demonstrate the ability to be a team player and work independently, and is comfortable multitasking and managing competing priorities.

The duties for this position include but are not limited to:

  • Provide diversified administrative assistance to nine (9) Division attorneys including, litigation related exhibit production, conduct follow-up, coordinate and schedule meetings, and communicate with various agencies, clients, and local associations.
  • Process and draft correspondences as requested by attorneys, General Counsel and/or Deputy General Counsel.
  • Input all attorneys’ case activity into tracking system and verify reports.
  • Monitor and maintain legal memo portfolio, office inventory/supplies, and legal library subscriptions.
  • Monitor and request repairs to office infrastructure and equipment.
  • Maintain confidentiality of case files and information.
  • Assist other support staff in the Division as needed.
  • Tabulates attorney time and expenses monthly.
  • Serves as primary on office phones and back up on legal bills/invoice processing.
  • Performs other related duties as assigned.

To be successful in the role you will need:

  • 2- 5 years of recent legal administrative support.
  • Associates degree preferred.
  • Strong administrative and organizational skills; ability to manage and prioritize a diverse workload and juggle multiple priorities.
  • Ability to handle sensitive matters and maintain confidentiality.
  • Exceptional attention to detail.
  • Ability to foster and promote a diverse and inclusive work environment.
  • Strong interpersonal, verbal and written communication skills; ability to effectively communicate with attorneys, members and other staff.
  • Strong MS office skills.
