Job Title: Director of Finance & Human Resources
Salary Range: $ 60,000-79,000
Location: Braintree, MA
Hours: 9:00 AM – 5:00 PM

GENERAL DESCRIPTION
The Director of Finance & HR is responsible for overseeing the Office Administrator, Administrative Assistant, Membership Database Coordinator, Data Entry Clerk, and Accounts Receivable Coordinator. Manages all accounting policies and procedures. Coordinates the yearly audit. Assists in the filing of DOL LM-2, and the IRS 990 according to set schedule. Reports to the Chief of Staff and President.

DUTIES & RESPONSIBILITIES
Accounting Department

  • Manage all financial operations, AP/AR and collections as needed
  • Input invoices into accounts receivable program and process AP checks
  • Assist auditor with yearend IRS 990 filing, LM2 filing
  • Prepare and file DLR Form 1&2 yearly
  • Prepare and manage all prepaid and general journal entries
  • Reconcile bank accounts monthly and prepare monthly closing entries
  • Prepare financial statements for Executive Board, Departmental managers and staff
  • Prepare and work with trustees on yearly budget for E-Board approval
  • Attend trainings as needed
  • Assist the administrative department as needed, coordinate and/or train new hires to the department
  • Work with accounts receivable coordinator on design and maintenance of membership database management

Maintain office services

  • Evaluates allocation of resources and inter-departmental procedures to ensure maximum efficiency
  • Establishes procedures to ensure efficient and effective office operations
  • Establish accounting policies and procedures
  • Review and maintain all vendor contracts for SEIU Local 888
  • Coordinate all vendors and manage services
  • Oversee all information systems for Local 888, working with external IT company as needed

Maintain office records

  • Design and implement department filing systems
  • Ensure department filing systems are maintained and current
  • Establish procedures for record keeping and retention
  • Monitor record keeping
  • Ensure security and confidentiality of data
  • Maintain office equipment
  • Maintain a presentable environment for members, staff, and visitors
  • Responsible for following proper building security for opening and closing of the office

Human Resources

  • In coordination with departmental management, organize orientation and training of new staff members
  • Maintain and ensure security of human resource files
  • Manage employee benefits such as AFLAC and 401K plan
  • Assisting with the day-to-day efficient operation of the HR office
  • Process bi-weekly payroll via external payroll company
  • Process various payroll reports HIRD and EMAC as needed
  • Assist with yearly payroll audit for Workers Comp Policy
  • Manage and monitor payroll accruals for accuracy

Perform other related duties as required

EDUCATION & EXPERIENCE

  • A Bachelor's degree in accounting, finance, or business administration
  • 5 years administrative and supervisory experience
  • Knowledge of accounting, data and administrative management practices and procedures
  • Intermediate computer skills and knowledge of office software packages (MS Word, MS Excel and MS Access, QuickBooks)
  • Knowledge of customer service principles and practices
  • Knowledge of clerical practices and procedures
  • Knowledge of human resources management practices and procedures
