Administrative Assistant

Based in Los Angeles, CA


A support component to organizational operations and development departments, the Administrative Assistant reports to the Operations Coordinator. The position supports internal administrative and development functions by contributing to specific internal processes and infrastructure development that support the organizations function and growth.  With our mission to coalesce diverse communities the administrative support for the organization entails consistent logistics management for events.  As we grow we also rely on this position to support fund development by drafting deports and letters of inquiries to foundations.

The essential functions listed below are intended as illustrations of the various types of work that may be performed. The omission of specific statements of duties does not exclude them from the position if the work is similar, related or a logical assignment to the position.

Overnight travel within the state, with notice, is required.

  • Operations: 70%
  • Support expense tracking
  • Support bill submissions
  • Purchasing: office supplies, tech as directed, office lunches
  • Event support: venue bookings, food order, travel arrangements, day-of set up and clean up as needed
  • Tech repair coordination and tracking support
  • Preparing space for incoming staff (setting up desk space, purchasing supplies as needed, etc)
  • Development support: 30%
  • Event logistics for small events including fundraisers
  • Ordering supplies and CIPC collateral regularly and in support of events
  • LOI drafting
  • Report drafting based on departmental quarterly reports
  • Managing reminders, collection and record keeping of all departmental Quarterly reports


  • Strong writing and expense management skills are required.
  • Must be able to read information quickly and write well on short timelines.
  • Strong organizational skills and ability to thrive in a fast-paced setting while maintaining precise attention to priorities, formats, procedures, details and quality.
  • Strong ethical sense to handle highly confidential HR, finance and development information is required.
  • Occasional night/weekend hours and overnight travel within the state are required. Advance notice will be given. 
  • Ability to lift 20-30 pounds, sit and stand for extended periods is required.
  • Must have legal work authorization in the United States.
