Regional Coordinator
(Full Time)

Affiliate Service Division within the MTA is seeking qualified applicants for the position of Regional Coordinator in our Quincy office. Our ideal candidate will possess administrative and unit support experience. Our ideal candidate will also demonstrate the ability to be a team player and work independently, and is comfortable multitasking and managing competing priorities, with a passion for delivering exceptional customer service to all MTA members.

The duties for this position include but are not limited to:

  • Provides diversified administrative support including; screen and route calls, file, prepare notes, correspondences, grievances and proposals, prepare materials for meetings, proofread documents, review departmental invoices, make copies, organize binders/folders, maintain office supplies and other administrative tasks.
  • Attend meetings and records meeting notes as requested.
  • Collaborate with department staff to coordinate meetings/logistics and work assignments; serves as a liaison to other departments and affiliates.
  • Track, prepare, review and maintain various reports and enter data into databases.
  • Create spreadsheets with proposals costs and scattergram analysis and create PowerPoint presentations.
  • Enter and follow-up on settlement reports, post new contracts in the database and follow-up on outstanding contracts.
  • Conduct comparison research, including calling municipalities and locals for information, salary schedules and specific contract provisions.
  • Submit requests for assistance to Boston Benefit Partners from locals and reviews associated billing.
  • Submit health and safety consultant requests.
  • Incorporate Memorandum of Agreement's (MOA) into new Collective Bargaining Agreements (CBA) and prepare request for legal services, Unfair Labor Practices (ULP) and other charges.
  • Performs other related duties as assigned.

To be successful in the role you will need:

  • 3- 5 years of recent administrative support.
  • Associates degree preferred.
  • Ability to foster and promote a diverse and inclusive work environment.
  • Strong MS office skills; demonstrated ability to create and maintain multiple Excel spreadsheets.
  • Exceptional interpersonal skills, strong attention to detail, and superior organization skills.
  • Excellent written and verbal communication skills.
  • Demonstrated high-level of dependability.
  • Previous experience using databases for entering information and running reports.
  • Ability to manage a diverse workload, handle multiple tasks simultaneously and be responsive to deadlines.
