Statewide Meetings and Events Coordinator

CFA is seeking a full-time Statewide Meetings & Events Coordinator to coordinate events with multiple sessions, workshops, meetings, negotiating terms of event contracts with hotels and other venues, and working within a pre-defined event budget.

Duties and Responsibilities include:

  • Facilitate the event planning process, working as a member of a team to coordinate multiple groups as they make preparations within established event deadlines.
  • Manage all aspects of the event planning process, including collaboration with vendors, venue identification, processing registrations, menu development, preparing of materials and budget development and tracking.
  • Research, investigate, and recommend venues that meet organizational needs in both cost and function, and maintain effective relationships with those venues.
  • Create summary reports of each event outlining how data gathered can be used to develop successful future events
  • Conduct a pre and post-event analysis to be able to plan properly and to also be able to improve in different areas.
  • Oversee activities going on during events; welcome guests and also serve as the “problem-solver” on the day of the event.
  • Provide onsite support for CFA’s events as a member of a team, with the ability to lead the onsite team as needed.

The ideal candidate will have the following knowledge, skills, and abilities:

  • A strong commitment to advancing racial and social justice transformation in the union movement, the university and beyond;
  • Skill and experience in strategic thinking, organizational development and long term planning;
  • Ability to work independently, handle multiple projects simultaneously and meet strict deadlines;
  • Experience developing event budgets;
  • Excellent time management and communication skills;
  • Ability to work collaboratively and strategically with CFA officers, members, interns and staff;
  • Ability to travel for extended periods (up to 1 week) during events; and
  • Ability to work long and irregular hours, including evenings and weekends.


  • Prior experience as an event planner.
  • Strong organizational skills and the ability to work independently with modest supervision.
  • Flexible, self-motivated, and possesses excellent administrative skills.
  • Must have good analytical and problem-solving abilities
  • Strong interpersonal skills, including the ability to work as part of a team and build a strong professional network.
  • Demonstrate proficiency in intermediate functions of familiar office programs including Word, Excel, and Outlook.
  • Strong commitment to racial equity and social justice.
  • Experience using online registration tools a plus.

Other Requirements:

  • Valid driver’s license, an automobile for business use, and proof of minimum insurance coverage.
  • Ability to lift 25 lbs.

Salary/Benefits/Other Requirements: CFA offers a fully paid benefit package including medical, dental, vision and generous paid leave. This position is covered by a collective bargaining agreement; salary is commensurate with experience. Some travel required.
