Governance Assistant
(Full Time)

Based in Quincy, MA

The Governance and Administration Division within the MTA is seeking qualified applicants for the position of Governance Assistant. Our ideal candidate will provide administrative and project support for the President and Vice President, and secondary support to the Director of Governance. Our ideal candidate will also serve as liaison with the Board of Directors (BOD), local affiliate leaders and elected officials.

The duties for this position include but are not limited to:

  • Provide administrative support to the Director of Governance.
  • Provide primary administrative support to the President and Vice President; calendar maintenance, travel, conference and meeting preparation, management of correspondence and phone messages, draft light correspondence and e-mail Presidents’ messages to local presidents and MTA Board, sometimes 3-4 email messages per day.
  • Answer and direct incoming calls to the appropriate staff.
  • Work as part of a team with Governance staff and assume any duties typically performed by the Executive Assistant to the Executive Director-Treasurer (EDT) and Governance Specialist, as needed.
  • Edit and prepare documents and conduct internet research for Director, as requested.
  • Maintain confidentiality of all files and information.
  • Alert the President, Vice President and/or EDT to potential issues.
  • Maintain familiarity with organizational and division activities and procedures.
  • Disseminate information and materials in accordance with established policies and procedures.
  • Set up Board and Executive Committee agenda notebooks for President, Vice President, EDT and Director of Governance.
  • Pull email lists of local presidents and Board members for electronic communications. Refers non-deliverable emails of local presidents to the Regional Office Staff and non-deliverable emails of Board members to the Governance Specialist for updating.
  • Orders memorial flowers for Board members and sends condolence alerts to the Board.
  • Maintains responsibilities with a positive, cooperative attitude.
  • Performs other duties, as needed.

To be successful in the role you will need:

  • A minimum of 5 years of recent executive administrative support.
  • College degree preferred, or equivalent work experience as an executive assistant for a minimum of 7 years.
  • Project management and event coordination: pre-event and on-site.
  • Excellent written and verbal communication skills.
  • Strong MS office skills; must be able to create and maintain multiple Excel spreadsheets.
  • Previous experience using databases for entering information and running reports.
  • Ability to foster and promote a diverse and inclusive work environment.
  • Ability to manage a diverse workload, handle multiple tasks simultaneously and be responsive to deadlines.
  • Exceptional interpersonal skills, strong attention to detail, superior organization skills and a high-level of dependability.
  • Must have reliable transportation for frequent travel to offsite meeting locations.
  • Willingness and ability to work outside of standard business hours, including occasional late evenings, overnights and weekends.
  • Ability to work with a variety of managerial work styles and communicate with members and the public with confidence.
