Administrative Support Specialist

Based in Marlborough, MA


SEIU Local 509 is a fast growing, progressive union representing nearly 20,000 state workers, human service workers, higher education faculty and family child care providers in Massachusetts. This is an in-house position within the administrative department.

Example of Duties:

  • Manage union notifications and tracking including contract expirations, strikes, meetings and elections
  • Produce and maintain contracts
  • Catalog and track minutes
  • Facilitate all offsite meeting logistics including rooms, meals and flights
  • Maintain union-wide calendar
  • Interface with post office regarding various needs including postage machine and meter updates
  • Work closely with Communications and Membership departments on member communications
  • Maintain phone system, mailroom, copiers, stationery, and supply vendor and repair contacts
  • Annual meeting research and preparation
  • Maintain mailroom, cabinets and admin storage closet including translation equipment
  • Provide reception coverage as needed.

Supervision Received:

  • This position is supervised by the Director of Administration

  • None

Qualifications:

  • Ability to be flexible and balance several projects simultaneously
  • Proficiency in Microsoft Office Suite, Google and typing
  • Ability to communicate and function across the sectors and tiers of the union
  • Openness to learning new systems
  • Attention to detail and grammar
