Qualifications:

Experience in fast-paced work environment, handling multiple and diverse assignments, many of which are of a confidential nature; at least 5 years' experience working for high level executives. Requires excellent interpersonal and organizational skills, good judgment, with experience in composing grammatically correct documents, and editing drafts to correct grammar, spelling, and punctuation. Previous paralegal experience a definite plus. Must have a strong commitment and dedication to the cause of unionism.

Candidate must be proficient in Internet usage and Microsoft programs, including Word, Excel, Power Point, and Access; demonstrated ability to type at least 75 wpm accurately; shorthand or speedwriting; ability to work long irregular hours, including nights and weekends, as necessary.

Essential Job Functions:

Provides secretarial and administrative support to the General Vice President; handles travel arrangements, schedules appointments and keeps calendars updated; screens calls, prepares materials, including confidential and urgent correspondence, membership statistical reports and other documents for various meetings; composes correspondence; takes dictation and transcribes. Receives all mail for General Vice President.

  • Functions as the office manager, making sure the office runs as efficiently as possible. Works closely with International Headquarters in Maryland concerning interdepartmental matters such as the office's computer systems, personnel issues, office equipment, phone system, and other requirements.
  • Maintains staff personnel records and weekly staff report files; tracks staff vacation usage and prepares monthly reports.
  • Handles office accounts payable, and maintains accounting records; manages online accounting system; prepares reports to Headquarters for reimbursement of expenditures on a monthly basis.
  • Requires traveling a few times each year.
  • Coordinates staff conferences, including preparation of the official call letters, agendas, invitations to guest speakers and other VIPs, works with the hotel's staff on set-up of our meeting rooms and audio visual requirements, and is the on-site contact. At registration, collects money, provides receipts; responsible for money collected. Distributes conference material to delegates and staff, coordinates airport pick-up of special guests, when necessary.
  • Designates where all office correspondence is filed, and responsible for retrieval of documents requested from those files.
  • Will be maintaining either the office General Correspondence files or the local lodge files.
  • Approves office supplies to be ordered.
  • Supervises one secretarial support staff member; provides phone coverage during breaks, lunch hour, and when absent.
  • Liaison with building management office, i.e., 24-hour emergency contact, scheduling work to be done within our offices, such as replacement of fire sprinklers, overhead lighting, and other repairs.
