The Norfolk Federation of Teachers (NFT) is currently seeking a Union Office Receptionist.
Position Overview
We are seeking a professional and personable Union Office Receptionist to serve as the face of our organization. In this vital role, you will be the primary point of contact for our union members, staff, and visitors. You will manage front-desk operations, provide essential administrative support, and ensure a welcoming environment that reflects our commitment to our members.
Key Responsibilities
- Front Desk & Visitor Management: Greet and direct members, staff, and visitors with a professional and friendly demeanor.
- Communication Management: Answer, screen, and route multi-line telephone calls; take detailed messages; and manage general correspondence.
- Member Support & Records: Address member inquiries regarding union services or benefits and assist in updating membership records.
- Administrative Support: Handle daily office tasks including data entry, filing, scanning, photocopying, and managing incoming/outgoing mail.
- Scheduling: Coordinate office meetings, book conference rooms, and maintain shared calendars.
- Office Maintenance: Ensure the front desk and reception area remain clean, organized, and secure.
- Special Projects: Collaborate with staff to prepare materials for union events, large-scale mailings, and membership meetings.
Required Qualifications & Skills
- Experience: Proven experience in a receptionist, administrative, or customer service role is highly preferred.
- Communication: Exceptional verbal and written communication skills, with the ability to engage effectively with a diverse membership base.
- Technical Proficiency: Professional familiarity with Microsoft Office or Google Suite and multi-line phone systems.
- Interpersonal Skills: The ability to handle sensitive information and difficult situations with high levels of empathy and professionalism.
- Organization: Strong multitasking abilities and the discipline to work independently in a fast-paced environment.
Schedule & Benefits
- Typical Hours: Monday–Friday (Afternoon or specific morning shifts available).
- Work-Life Balance: This is a part-time position averaging 20–30 hours per week, offering a consistent and predictable schedule.
