Administrative Assistant
Based in Landover, MD
Location: Landover, Maryland
Classification: Full-Time, FLSA Exempt

About the Role: Local 400 is seeking a highly organized, proactive Administrative Assistant to support our directors, representatives, organizers, and members. This role is central to ensuring smooth daily operations and requires a professional who thrives in a dynamic, mission-driven environment. You’ll interact with staff, union members, potential members, and labor and political allies—helping advance the work of the labor movement.
Key Responsibilities:
- Provide comprehensive administrative support to ensure efficient office operations
- Maintain organized physical and digital filing systems
- Answer and route phone calls; greet and assist members and visitors
- Manage email and digital correspondence
- Support directors with calendar management and travel arrangements
- Draft, edit, and format letters, reports, and other documents
- Enter and update data in databases and spreadsheets
- Prepare meeting agendas and record accurate meeting minutes
- Coordinate meeting logistics, including room setup and catering
- Create and edit documents using word processing and presentation software
- Operate and troubleshoot standard office equipment (printers, copiers, fax machines)
- Collaborate with other administrative staff and provide cross-team support
- Handle sensitive information with discretion and maintain confidentiality
- Prioritize tasks effectively and meet deadlines in a fast-paced environment
- Represent the organization with professionalism and a positive attitude
- Demonstrate initiative, strong follow-through, and forward-thinking problem-solving
Qualifications
- Experience in an administrative or office support role
- Proficiency in Microsoft Word, Excel, and Adobe
- Strong communication and organizational skills
- Ability to sit at a computer workstation for extended periods
- Ability to lift to 20 pounds
- Flexibility to work long or irregular hours, including some evenings and weekends
- Willingness to travel occasionally
- Commitment to the values and demands of the labor movement
Working Conditions: This position operates in a standard office environment with core hours of 8:30 AM – 4:30 PM. The role may require additional hours based on organizational needs.
