Provides overall coordination of daily administrative activities of the Director and staff by monitoring the work flow, keeping the Director abreast of daily activities, being knowledgeable of the status of project activities and performing follow-up procedures on matters for the Director.

DUTIES:

  • Provides overall coordination of daily administrative activities of the Director and staff by monitoring the work flow, keeping the Director abreast of daily activities, being knowledgeable of the status of project activities and performing follow-up procedures on matters for the Director.
  • Supports budget tracking and completes the monthly SOB report.
  • Supervises the work of the Customer Service Project Technician and oversees projects.
  • Supports the Director with lease abstracting and tracking.
  • Maintains a database of all leases and key information.
  • Maintains the lending library inventory of cellphones, GPS, air cards, etc. and manages the wireless plans.
  • Monitors and analyzes current plan for better efficiencies.
  • Provides oversight and management of copier database and contract tracking. Manages and coordinates Kastle access program.
  • Manages and oversees vendors.
  • Coordinates the Director’s schedule, prepares correspondence, and returns phone calls as directed.
  • At the direction of the Director will activate and cancel calling cards and cell phones.
  • Responsible for notifying department directors of assigned equipment and numbers.
  • Coordinates the collection and preparation of reports and monitors budget expenditures. Initiates "Expense Authorization Forms" (EAFs) for various department needs.
  • Assists the Director in handling the department's confidential affairs, including employee and labor relations issues.
  • Supports the Director with furniture and equipment tracking system for Headquarter and field offices.
  • Keeps on-line calendar of employees approved leave for tracking and coverage. Supports the Director with inventory of the field offices.
  • Acts as initial contact/reference person for the department.
  • Reviews and answers general correspondence for the Director and makes necessary decisions required to ensure timely accomplishment of the departments' objectives and projects as required.
  • Performs related work as required.

REQUIREMENTS:
Education & Experience:

  • Graduation from high school and extensive knowledge of office management and administrative skills; or any equivalent combination of education and experience which would be acquired through the completion of an Associate's degree and five years’ experience as an executive or senior office support person working in a confidential environment.

Skills

  • Ability to quickly adapt to changing situations for the purpose of accomplishing results.
  • Ability to type 65 wpm. Ability to manage budgets.
  • Produces information through the proficient use of MS Office software (Word, Excel, Outlook).
  • Ability to compose correspondence using standard grammar and collect and analyze information.
  • Experience directing the work of others.
  • Excellent organizational and leadership abilities.
  • Ability to develop and use a confidential filing and retrieval system.
  • Ability to manage multiple tasks and meet deadlines.
  • Ability to problem solve.
  • Excellent communication skills both oral and written.
