FUNCTIONAL PURPOSE:
This position provides confidential executive administrative support to the President. Advanced project management and organizational skills are critical to this position. The person in this position must maintain the highest level of confidentiality and diplomacy regarding all union matters.

DUTIES AND RESPONSIBILITIES:
To include, but are not limited to the following. Other duties may be assigned.

  • Frequently compose and finalize complex correspondence, legal documents, meeting minutes, reports and other documents, using experience and judgment to determine what should be included in each document.
  • Manage highly sensitive and confidential business information.
  • Manage multifaceted department logistics and calendars for meetings and conferences, including travel.
  • Perform office duties to support the President with general guidance in terms of overall objectives.
  • Manage department records and archiving, including union governance and policy and procedure documents.
  • Provide general direction to OPEIU employees in the department.

QUALIFICATIONS:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed are representative of the knowledge, skill, and/or ability required.

EDUCATION & EXPERIENCE:

  • High school graduate or equivalent.
  • 3-5 years secretarial experience or equivalent.

SKILLS/ABILITY:

  • Must be able to establish and maintain effective working relationships with officers, staff, employees and members of outside agency officials.
  • Ability to type 60 wpm.
  • Ability to utilize a computer, including but not limited to, Microsoft Office Word, Excel, PowerPoint & Outlook. Willingness to learn additional software programs.
  • Ability to perform duties with neatness and accuracy and be detail-oriented.
  • Ability to multitask, meet deadlines, and work well under pressure.
  • Ability to react to change productively and handle other essential tasks, as assigned.
  • Ability to use office equipment such as copiers, scanners, fax, desktop computer system and peripherals, etc.
  • Individual must be dependable with exemplary attendance and punctuality.
  • Must demonstrate excellent telephone courtesy.
  • Ability to establish and maintain effective working relationship with APWU personnel, members and general public.

Salary commensurate with qualifications and experience.
