Position Description:
Organization seeking a strategic and detail-oriented individual to serve as its next Director of Operations. The Director is responsible for planning, coordinating, and supervising the day-to-day business operations of the organization. This position plays a critical role in delivering, innovating and strengthening the organization’s infrastructure and collaborating across program teams to advance our mission. The ideal candidate will have a demonstrated commitment to social justice, a strong understanding of non-profit infrastructure and an extensive professional background that includes finance/accounting, facilities management, human resources, office technology, and grants management. Principal Responsibilities:
Organizational Operations

  • Provide effective leadership and oversight of functional operations teams and activities including Facilities, Human Resources, and Finance that result in operational excellence.
  • Work with team leaders to facilitate effective operations planning and strategy implementation.
  • Develop capacities in financial, operational, and technological systems to support growth in existing programs.
  • Facilitate internal collaboration to ensure that all departments are communicating effectively and supporting one another as needed.
  • Troubleshoot and strategize to address functional and organizational challenges.
  • Continuously examine and enhance operational and functional standards, systems and culture.
  • Ensure corporate insurances, audits, and compliance reporting are in order at all times.
  • Support Board committees as assigned.
  • Serve as a strategic partner and advisor to the Chief of Operations and Organizational Sustainability.
  • Perform other activities and duties as requested.

Financial Planning and Management

  • Supervise the Director of Finance.
  • Collaborate with the Finance Team to strengthen systems and compliance practices.
  • Ensure the production of timely and accurate financial statements, yearly budgets, budget reforecasts, budget variance analysis, financial reporting, and financial trend reports to advise management on the financial implications of operating decisions.
  • Ensure timely organizational budget planning and implementation.
  • Communicate regularly with senior staff on the organization’s financial performance.
  • Ensure timely production of financial statements as requested throughout the year.
  • Work collaboratively with the Director of Institutional Advancement on reporting to funders and managing internal grant management systems.
  • Work collaboratively with the Director of Campaign Advancement to project, inform, and manage the financial and operational needs of campaigns and campaign staff.

Human Resources Planning and Management

  • Supervise the Director of Human Resources.
  • Collaborate with the HR team on new initiatives, strengthening systems, and compliance needs.
  • Serve as day-to-day lead for management of staff union collective bargaining agreement.
  • Engage in planning and support of on-boarding, benefits and compensation, training, performance management and employee relations.
  • Ensure that effective Human Resources practices are in place and adhere to compliance with applicable laws and regulations.
  • Provide guidance, coaching and mentorship to staff in support of a positive work environment and organizational culture.
  • Ensure timely and accurate processing of payroll and compliance reporting.
  • Ensure timely and accurate processing of payroll tax reporting.

Administration and Facilities Management

  • Supervise the Facilities and Administrative Services Manager.
  • Collaborate with the Manager on new initiatives and strengthening systems and compliance needs.
  • Oversee all functions related to the physical plant, property and equipment.
  • Manage facilities service contracts and vendor relationships.
  • Manage annual facilities budget.
  • Support the adoption, implementation, and management of office technologies.
  • Oversee space management including leases, building security, meeting space rental, and tenant management.
  • Manage relevant safety documentation and compliance reporting.
  • Ensure staff are properly trained and adhere to relevant safety laws, regulations, and procedures.

Qualifications:

  • Minimum of seven years of senior-level leadership experience supervising seasoned staff and managing multiple teams.
  • Experience developing, supporting and supervising staff is essential.
  • Demonstrated experience managing multiple teams.
  • Experience in unionized organizations and managing collective bargaining agreements is preferred.
  • Proven record of accomplishment of successful results in operations and financial management, preferably in complex organizations.
  • Proven record of accomplishment in developing metrics and reporting.
  • Data driven with strong analytical and technical skills.
  • Strong communication, writing, and presentation skills.
  • Highly flexible, adaptive, with a problem solving orientation.
  • Respectful of different work styles and approaches.
  • Attuned to creating and promoting organizational excellence.

Supervisory Responsibility: The Director of Finance, Director of Human Resources, and Facilities and Administrative Services Manager are direct reports. Additional oversight responsibility for four indirect team reports.
