Job Description

The National Association of Letter Carriers (NALC) is seeking an Accounts Receivable Clerk III at our DC Headquarters, located a stone’s throw from the U.S. Capitol Building. General accounts receivable duties, including processing supply requisitions, deposits, invoicing, and collections.  Duties and responsibilities include the following:

  • Manages oversight of the Associate Member dues billings and the processing and reconciliation of the subsequent cash receipts to ensure all member accounts are properly credited.
  • Manage inquiries from Health Benefit Plan(HBP) members, preparing correspondence to members on receivable issues and updating the membership database, through HBP, as necessary.
  • Process requisitions for office supplies for Headquarters and Regional Offices.
  • Prepare purchase orders for approval, ordering supplies from approved vendors, ensuring timely receipt, and distribution of ordered supplies and supporting documentation to accounts payable for subsequent payment.
  • Deposit in-house cash receipts, including preparing deposit slips, maintaining deposit worksheets in Excel and crediting A/R open items in Solomon Cash Manager using correct account numbers.
  • Maintain C/R files for all deposits and supporting documentation to include supporting materials from deposits from NALC store sales.
  • Invoice and ensure timely collection of rents and other receivable from our various account numbers, printing aged A/R reports, positing and reconciling.
  • Other duties that may be assigned.

Qualifications – Knowledge, Skills, and Abilities Required

These are the minimum qualifications required to successfully perform the job. These are the qualifications that are necessary for someone to be considered for the position.

  • Bachelor Degree in Accounting or similar field with relevant work experience.  Equivalent training, and/or work experience can be substituted for educational requirements.
  • Experience with membership and accounting databases including an understanding of chart of accounts, sub-accounts, and sub-ledgers.  Knowledge of the accounting cycle, GL, and A/R required.
  • Strong communication skills.
  • Proficiency in MS Word, Excel, and willingness to learn new software as needed
  • Administrative skills, including keyboarding and writing / grammatical skills
  • Ability to multi-task, meet deadlines, and work well under pressure
  • Detail-oriented and accurate
  • The ability to react to change productively and handle other essential tasks as assigned.

Schedule: Regularly 35 hours per week: Monday – Friday, 9 am – 4:30 pm
