RESPONSIBILITIES:
The Legal Office Assistant reports to the Director of Advocacy and/or Management. Performs all administrative support functions for the Advocacy Department, including assisting all Labor Representatives and Sr. Labor Representative with administrative functions, grievance and arbitration filings and civil service.

Other duties may include: administrative support for attorneys/labor representatives in civil service and court cases, within the scope of authority granted by attorney/labor representative, the legal office assistant interacts with administrative tribunals, courts, clients and other counsel.

EXAMPLE OF DUTIES:

  • Receives telephone calls, takes messages, receives and distributes faxes, mail, email and refers to appropriate personnel. Point of contact receiving all communications regarding incoming inquires, individual and group grievances, skelly’s unfair labor practices, civil service cases, arbitrations fillings, elevation calls for referral and maintains regular communication with Internal Departments and Member Connection;
  • Utilizes the computer data entry system (CMS) to record the assignment of cases, update case notes as needed or requested, scan all documents received by any means, i.e. hand delivery, fax, or via e-mail, research information when needed, and other data entry as assigned;
  • Keeps current on administrative procedures of civil service, employee relations, and court tribunals so that proper procedures are followed;
  • Assists with scheduling appointments with members and confirms dates with tribunals as needed;
  • Composes and/or types routine correspondences,
  • Maintains and orders office supplies;
  • Attends and participates in Department’s weekly and monthly staff meetings, assisting in agenda preparation, typing and distributing meeting minutes and follow through on work generated from meetings;
  • Maintains records and/or filing system for any documents, including ERCOM agendas, Civil Service Agendas, Purchase Orders, Accounting documents, organizes filing system of physical office case files, including annually archiving such files.
  • Work with Labor Representatives and Management team on member appeals to RAC (Representational Appeals Committee), including assisting with coordinating RAC ( Representational Appeals Committee) meetings.

Calendaring

  • Maintains calendars of all deadlines, appointments and appearances.

Civil Service/Legal Assistance

  • Prepare and maintain case status records and case files;

MINIMUM REQUIREMENTS:

  • Ability to communicate, work effectively and relate respectfully with a diverse membership and staff;
  • Demonstrates ability to work independently and as part of a team and respond quickly to shifting priorities and rush deadlines;
  • Ability to exercise good judgment in order to solve operational problems/dilemmas;
  • Proficient computer skills in Microsoft Outlook, Word, Excel, PowerPoint, Access, and e-mail programs are preferred;
  • Proficient in database entry, typing, filing, good written and verbal communication skills
  • Must possess strong knowledge of computerized filing systems/databases;
  • Ability to handle telephone contact with members and vendors in a courteous and professional manner;
  • Ability to type 50 to 55 WPM;

SALARY AND BENEFITS:

  • Current hourly rate is $25.33 (entry) to $29.50 (10 years)
  • Fully paid benefit package including medical, dental, vision and a generous life insurance.
  • The Legal Office Assistant is an hourly OPEIU bargaining unit position subject to a staff union contract.
  • Work hours may be between 7:00 a.m. and 7:00 p.m., subject to department needs.
