The Position
The Union of Concerned Scientists (UCS) is an independent national nonprofit whose scientists and engineers work to solve some of our planet’s most pressing environmental and safety problems. UCS combines technical analysis and effective organizing and advocacy to create innovative, practical solutions for stemming the tide of global warming, sustainable food policy and agriculture, energy and transportation, fighting misinformation and reducing the threat of catastrophic nuclear war.

The Donor Recognition Associate is a member of a bustling team of 28 development professionals raising nearly $30 million annually (and growing.) As a team, we prioritize the donor experience and ensure that our supporters understand how their gifts are making change.

The Donor Recognition Associate implements gift acknowledgment processes and protocols for the Development Department, and is essential to the work of directly connecting donors with the impact of their gifts. Working closely with the Stewardship and Gift and Data Processing Teams, the Donor Recognition Associate:


  • Executes daily tasks relating to the merging, printing, and mailing of in-house acknowledgement letters.
  • Responsible for both quality of the data and timeliness of mailing acknowledgements.
  • Pulls and prepares lists from the database, scrubs and reconciles data in the database prior to sending letters.
  • Implements process for periodic updates of acknowledgment letter language; merges, edits and proofs letters to ensure the appropriate segmentation and level of personalization across gift levels.
  • Coordinates across teams to incorporate necessary personalization for in-house letters to high-dollar donors.
  • Conducts periodic strategic assessments of acknowledgement processes to ensure that acknowledgement across all levels of giving have consistent, timely delivery.
  • Refines acknowledgement processes for efficiency and quality; tracks and reports on activity and performance.
  • Serves as point person for mail house and appreciation call vendors and manages thank you premium inventory.
  • Provides support to Stewardship and Gift and Data processing teams for other projects as needed, including data entry projects and other administrative tasks.

Qualifications and Experience

  • Candidate must be database proficient; knowledge of Raiser’s Edge a plus.
  • Position requires exceptional attention to detail and demonstrated experience with word processing and merge functions.
  • Requires strong organizational and proofreading skills and the ability to manage and meet multiple deadlines simultaneously.
  • Orientation toward efficiency and systems approach is preferred.
  • An ability to communicate effectively and work flexibly in a team environment is important.
  • Familiarity with and interest in donor relations techniques and principles is preferred.
  • Bachelor’s degree preferred.
  • Work requires two years of comparable and relevant experience.

At UCS, comparable training and/or experience can be substituted for degrees when appropriate.

May spend extended periods at computer terminal. Regular office hours. Expected to be on hand during busy season, including holiday breaks (excluding official state holidays). Days worked will be offset with days off during the slower period. Up to 5 days of overnight travel may be required each year.

Compensation, Hours and Location: This is a full-time position based in UCS’s Cambridge office. For those who meet all position requirements, the salary is around $38,000.
