Provide high-level administrative and secretarial support to the Office of the Vice President of the General Motors Department, International Union, UAW.


  • Provide all administrative/secretarial support for the Vice President (VP).
  • Schedule all activities, travel and speaking engagements and manage calendar.
  • Establish, organize and maintain electronic and paper office files of the VP.
    • Know, interpret and apply organizational policies, procedures, and protocols;
  • Assist in copying, and distributing and/or mailing documents, creating draft to final correspondence, memos, letters, spreadsheets and forms for the VP.
    • Coordinate and assist in all aspects of meetings, travel.
    • Develop, coordinate and assess office systems and operations, including but not limited to, record-keeping, internal and external communications, meetings, travel and expenses and other areas as assigned.
    • Review and process incoming correspondence and materials.
    • Independently prepare responses to inquiries and other correspondence.
    • Proofreading, reformatting and editing of correspondence and policy statements.
    • Coordinate office support staff and workflow including resolution of questions and concerns.
    • Retrieve information quickly from various sources including utilizing the internet as a resource tool.
    • Understand, and be able to communicate, the function of the International Union, UAW and both the internal and external labor movement.
    • Assist and aid with Executive Office communications.
    • Screen, manage and prioritize visitors, calls and mail.
    • Timely processing of expense reports and tracking of reimbursements.
  • Handle confidential and non-routine information.
  • Work independently and/or with a team on special and nonrecurring and ongoing
  • projects at the request of the VP.
  • Perform other duties as assigned.

Minimum of five years of administrative support or secretarial experience, with at least
one year experience serving as an Executive Secretary; or an equivalent combination of
training and experience.

Preferred: Associate's degree from two-year college or technical school in business.

  • Knowledge of office administration practices, procedures, protocols and terminology.
    • Positive attitude and excellent communication and interpersonal skills.
    • Professional, courteous and tactful.
    • Excellent problem resolution skills, including demonstration of developing and implementing proactive measures to improve efficiency of operations.
    • Demonstrated successful ability to work as in a lead capacity or within a team.
    • Highly motivated and a self-starter.
    • Excellent computer skills and demonstrated proficiency in Microsoft Office and Outlook.
  • Knowledge of and ability to apply computer and technology skills in order to perform word processing, create spreadsheets, maintain database and use standard business software.
  • Ability to organize, set priorities and exercise sound judgment within areas of
  • responsibility.
  • Ability to organize and maintain office and specialized files.
  • Ability to prepare clear, accurate and concise records and reports.
    • Demonstrated ability to exercise sound political judgment with highly sensitive issues.
    • In-depth knowledge of or a high propensity to learn International Union, UAW procedures and protocols.
    • Demonstrated experience working with elected leaders or in an Executive Office capacity.
    • Demonstrated ability to work in high-pressure environment and meet unpredictable deadlines.
    • Demonstrated experience in taking and transcribing meeting notes (shorthand is not required).
    • Commitment to confidentiality and discretion.
    • Demonstrated strong proofreading skills.
  • Ability to type accurately at a speed necessary to meet the requirements of the job.
    • Demonstrated ability of prioritizing and effectively managing multiple tasks.
    • Ability to work overtime, as required.
    • Ability to travel sporadically, possibly 4 to 5 times per year.
