The person in this position is responsible for maintaining high standards for the accuracy and integrity of the Association’s financial and recordkeeping systems. This position reports to the Regional Organizing Director and, in addition to bookkeeping duties, also provides necessary administrative support in furtherance of the Association’s mission. The ideal candidate will be proactive and able to organize work, is detail driven, able to interact effectively and positively with others. This position is responsible for confidential matters and is therefore not a union position.


  • Maintain all accounts payable and receivable functions, including paying bills in a timely manner, posting expenditures accurately in the accounting system, maintaining well-organized and appropriate paper files, and informing Regional Organizing Director of any unusual expenditures;
  • Prepare payroll and process employee reimbursement expenses
  • Administer staff benefit plans (including health, retirement, disability), including documentation of plans, enrolling new employees and updating/terminating benefits as needed; serve as liaison with plan customer reps; file appropriate paperwork
  • Maintain all in-house filing systems for financial, insurance, tax and other related records; help prepare for audits
  • Oversee office organizational needs, making sure office functions such as supplies, equipment, and cleanliness are in good working order
  • Monitor Constitutional requirements and help ensure strict adherence to time frames and deadlines
  • Serve as liaison with affiliates regarding administrative matters
  • Assist Regional Organizing Director as needed to ensure the smooth and timely functioning of administrative and office systems
  • Perform other related duties as needed


  • At least three years’ bookkeeping experience performing a range of accounts payable/receivable functions
  • A track record of taking initiative to improve and implement office systems
  • Strong grasp of software programs used to manage information, such as Excel and Accounting software, including QuickBooks
