POSITION TITLE: Executive Assistant
DEPARTMENT: Senior Staff (Administration)
ACCOUNTABLE TO: Executive Director
AVAILABLE: Immediately

This position is primarily responsible for providing administrative support to MNA’s Senior Staff (Directors / Managers) in carrying out management and confidential responsibilities of the organization and developing and maintaining confidential employment records and Association correspondence. The Executive Assistant also provides administrative support to the MNA President, Board of Directors, Committee on Elections, and subcommittees of the Board of Directors.


  1. Provides administrative support to MNA Senior Staff.
  2. Develops and maintains confidential Association correspondence.
  3. Provides administrative support to the MNA President, Board of Directors, Committee on Elections, and subcommittees of the Board of Directors
    • Attends Board, Committee on Elections, and Board subcommittee meetings as assigned and maintains minutes for those meetings.
    • Develops and maintains correspondence for the Board of Directors, President, and other committees as assigned.
    • Assists in development of agendas for assigned groups.
    • Responsible for arranging for meeting space, ordering meals, setting up necessary equipment, and supplying supporting materials for assigned groups.
    • Maintains all policies of the Board of Directors and House of Delegates.
  4. Maintains records of House of Delegates actions, including resolutions, main motions, and bylaws amendments.
  5. Responsible for activities preparing for House of Delegates, including, but not limited to, maintaining Delegate lists, noticing Delegates of action items, overseeing preparation of Convention Handbook, preparation of House script.
  6. Maintains list of candidates for MNA statewide elections and develops ballots.
  7. Assists in processing of Accounts Payable and Payroll.
  8. Responsible for taking minutes at monthly staff meetings for distribution to the staff.
  9. Other duties as assigned.

The position may include long and irregular hours, including weekends and evenings. Travel is required, including overnight stays.


  • Education: Associate’s Degree preferred. Equivalent work experience will be considered.
  • Experience: Knowledge of labor unions. Required proficiency in Microsoft Office Suite including mastery of Excel, Outlook and Access or similar database. Excellent communication skills, both verbal and written. Demonstrated ability to manage priorities. Highly organized individual required.
