Sistas with Tools, in collaboration with the San Francisco Building Construction Trades Council and their affiliate unions, is a pre-apprenticeship program focused on preparing, supporting, and retaining Black and Latina women in high skills and high wage unionized construction trades apprenticeships and unionized construction trades careers while providing them with supportive services to ensure that they don’t merely survive, but they thrive.

We are looking for a full-time Program Manager to join our team. This is an exempt position that is benefits eligible.

Essential Duties and Responsibilities:

  • Responsible for overseeing program strategy, including developing project plans, workflows, and timelines to ensure outcomes and deliverables are produced on time as defined by project deadlines.
  • Assists Program Director in budgetary oversight of program administration and ensures program revenue and expenses are within the adopted annual budget and constraints of awarded grants.
  • Tracks and communicates project status, timeframes, deliverables, and KPIs to Program Director and other stakeholders as required.
  • Assists with development, revision, execution, and refinement of program strategy, standard operational procedures, and workflows to keep program projects on track and on schedule.
  • Develops schedules, critical deliverables, budgets, resource allocation plans, and other support requirements for program and assigned projects.
  • Writes reports, and other ancillary materials in line program mission and in collaboration with Program Director and other program stakeholders.
  • Manages existing grants including tracking, developing internal reporting systems, composing reports, working with staff as needed to ensure project and program goals are met and serving as a liaison between staff and stakeholders regarding grant issues.
  • Assure the timely submission of reports in compliance with various grants’ guidelines, respond to requests for information from funding sources regarding pending applications, and submit documentation as necessary for grant compliance.
  • Ensures adherence to funding source contracts and performance standards and closely with senior program staff to ensure grant deliverables and requirements are clearly communicated and supported.
  • Maintains database with all grant-related activity, including grant research, applications, reports, and related correspondence including managing grant contracting systems and portals.
  • Coordinates with program accountant for budgets, financial reports, and invoicing to funding agencies. Maintain and implement a funding calendar with all grant reporting deadlines.
  • Attends trainings conducted by grantors and disseminate new information to program staff related to potential grant opportunities.
  • Assists in the screening, assessment and enrollment of participants including orientation as required.

Education and/or Work Experience Requirements:

  • Preferred at least three (3) years of compliance or program management experience, or any equivalent combination of education and experience.
  • Possess two (2) years of union experience.
  • One (1) year of public charity experience preferred.
  • Demonstrated proficiency in interpreting, applying, and monitoring federal and state regulations and organizational policies.
  • Possess a minimum of 1 year working for and with organizations supporting diversity, equity, inclusion, and belonging programs and principles.
  • Proficiency with Microsoft Office Suite, Zoom, and MS Teams or related software.
  • Comfortable creating projects, budgets and proposals through research and historical data.
